We are now seeking a Commercial Venue Executive to join our team on a 12 month fixed term contract, at One Birdcage Walk, one of London’s most beautiful Victorian buildings and the home of IMechE.

The Role

As a Commercial Venue Executive, you will be responsible for marketing space within One Birdcage Walk to existing and potential clients.

Your primary focus will be to optimise the profitability and revenue of the venue. To achieve this, you will plan and implement marketing initiatives, prioritise bookings, ‘up-sell’ and manage and maximise website traffic.

As the first point of contact for all enquiries and bookings, you will correspond with clients before liaising with the Catering Team and Facilities Department to communicate clients’ requirements.

Your other duties will include:

- Preparing invoices, as well as daily and weekly events sheets, client proposals and contracts
- Showcasing the Institution’s facilities to potential external clients
- Negotiating with clients
- Highlighting less popular booking times and spaces to provide value for money solutions

About You

To be considered as a Commercial Venue Executive, you will need:

- Demonstrable experience working in the venue hire sector
- Experience working in a customer-oriented administrative environment
- Experience of room booking, event software and using a CRM system
- A proficiency in IT, including MS Office
- Excellent interpersonal and negotiation skills
- Exemplary written and verbal communication skills
- The ability to work both independently and as part of a team

Experience of implementing successful marketing campaigns would be beneficial to your application.

Please note, this role will involve working flexibly, outside of normal business hours, as well as undertaking a reasonable amount of travel to other IMechE sites which may require occasional overnight stays.

We are now seeking a Part-Time Facilities Assistant to join our team on an 18 month fixed term contract, at One Birdcage Walk, one of London’s most beautiful Victorian buildings and the home of IMechE.

The Role

As a Facilities Assistant, you will undertake a wide range of general duties throughout One Birdcage Walk to support the smooth running of the Institution.

Providing a first line facilities support service, you will be involved in everything from preparing meeting rooms and restocking consumables to dealing with last minute client requests.

Taking a reactive approach to incoming service requests, your role will also involve:

- Providing excellent customer service to all visitors, employees and tenants
- Preparing meeting rooms
- Acting as the first point of contact for emergency building-related situations
- First line maintenance activities
- Escorting and supervising visitors
- Assisting with emergency provision tests and acting as a fire warden

About You

To join us as a Facilities Assistant, you will need:

- Experience in a similar role, including experience of setting up meeting rooms
- Experience of working in customer-focused environment
- Good written and verbal communication skills
- To be organised, able to prioritise and work to deadlines

A First Aid Certificate would be beneficial to your application however, this is not essential as training will be provided. Experience in basic carpentry, electrical and plumbing and repair of minor defects would also be advantageous.

This is a part-time role working 25 hours per week, 2pm to 7pm, Monday to Friday. However, there is potential for additional hours outside normal working hours, and to participate in the out of hours on call rota, with occasional weekend work.

Please note: Part of this role will involve frequent lifting of light to moderate weights.

The Role

As a Customer Services Executive, you will be responsible for supporting our training and consultancy services through a range of customer facing activities.

Specifically, you will handle sales enquiries, take bookings and resolve any issues that students on our training courses may experience. You’ll also be involved in creating leads that result in sales of our services and training courses.

You will ensure an efficient and fluent service at all times, whilst providing support for administrational Reception Desk duties when necessary.

Additionally, you will undertake outbound sales activities and accurately record leads via the CRM system, as well as helping to predict future revenue with accurate sales and bookings activity.

About You

To be considered as a Customer Services Executive, you will need:

- Previous experience of working in a customer contact and/or sales environment
- Good communication, interpersonal and customer service skills, with an excellent telephone manner
- Excellent people and relationship management skills
- A willingness to be flexible as a member of a small team
- The ability to work resourcefully without close supervision
- The ability to manage your own workload and deal with conflicting priorities

The Role

As a Volunteer and Development Executive, you will be responsible for overseeing the Institution’s continual professional development (CPD) auditing process, ensuring members stay at the cutting edge of engineering. You will also help to supervise around 1,600 volunteers who are involved in membership application processes.

Collaborating with the Marketing and IT departments, you will manage our auditing activities, including providing support to our CPD Assessment Committee. You will deliver annual audits of members’ CPD records and provide them with high-quality feedback, whilst ensuring maximum engagement and timely delivery.

Additionally, you will manage volunteer recruitment, training and monitoring, as well as providing individualised feedback.

Your role will also include:

- Taking the lead in responding to CPD-related queries by phone, email and online media
- Reviewing CPD Assessors’ feedback
- Acting as the primary point of contact for the international interview co-ordinators
- Producing regular statistical and usage reports on CPD audit and related activities

About You

To be considered as a Volunteer and Development Executive, you will need:

- Previous administration experience
- Experience of providing customer service in a busy office environment
- Previous experience of dealing with enquiries
- Experience of delivering presentations and structured group meetings
- Experience of working towards deadlines and managing priorities
- Excellent organisation and time management skills
- The ability to work on your own initiative as well as part of a team
- Excellent communication skills
- IT literacy, including MS Office
- A highly motivated mentality
- A flexible approach

Experience working with volunteers would be beneficial to your application, as would knowledge of professional development. Minute taking experience would also be advantageous, as would A-level qualifications or equivalent administrative experience.
